PERSONAL DATA PROCESSING AND PROTECTION POLICY

This Personal Data Processing and Protection Policy (hereinafter referred to as the “Policy”) regulates the procedure for collecting, storing, processing, and protecting personal data of users (hereinafter referred to as the “User” or “Users”) of the website hotspace.com.ua (hereinafter referred to as the “Website”).

1. GENERAL PROVISIONS

1.1. The Personal Data Operator is Sole Proprietor Kovshyk Valerii Hennadiiovych, registered under the legislation of Ukraine (hereinafter referred to as the “Operator” or “Seller”).

1.2. By using the Website or purchasing goods/services, the User automatically agrees to the terms of this Policy and grants the Operator consent to the processing of their personal data under the conditions specified herein.

1.3. This Policy is prepared in accordance with the Law of Ukraine “On Personal Data Protection” and General Data Protection Regulation (GDPR) standards.

The Operator may collect and process the following information about Users:

  • Electronic mail address (Email).

  • Delivery address for orders.

  • Technical information (IP address, cookies, browser type, session duration) required for the correct technical operation of the Website.

3. PURPOSES OF PERSONAL DATA PROCESSING

The User’s personal data is processed for the following purposes: 3.1. Provision of services, sale and delivery of products ordered through the Website.

3.2. Processing and managing Customer orders, including communication via phone, email, or messengers to clarify order specifications (such as 3D modeling, molds creation, and bronze/metal casting details).

3.3. Sending marketing and promotional materials, updates, newsletters, or answers to feedback inquiries, provided the User has granted separate consent.

3.4. Technical improvement and optimization of the Website performance, analytics, and enhancement of user experience.

4. METHODS AND TERMS OF STORAGE

4.1. The processing of personal data is carried out using automated systems as well as manual methods in a secure digital environment.

4.2. Personal data is stored for the period necessary to fulfill the purposes specified in Section 3 of this Policy, or for the periods required by applicable tax and accounting laws of Ukraine, but no longer than 5 (five) years from the date of the User’s last interaction with the Website.

4.3. After the expiration of the storage period or upon receipt of a written deletion request from the User, the data shall be permanently destroyed or anonymized.

5. TRANSFER OF DATA TO THIRD PARTIES

5.1. The Operator does not sell, lease, or distribute the User’s personal data to third parties for commercial use.

5.2. Personal data may be transferred to third-party service providers strictly for the execution of the Customer’s order:

  • Postal and international courier services (to ensure physical shipping and delivery of goods).

  • Electronic payment systems and acquiring banks (to securely process payments for orders).

5.3. Personal data may be disclosed to law enforcement or governmental authorities only if explicitly required by the applicable laws of Ukraine or based on a valid court order.

6. USER RIGHTS

Every User has the right to:

  • Know about the sources of collection, location of their personal data, and the purposes of its processing.

  • Access their personal data stored by the Operator.

  • Receive information regarding whether their personal data is being processed.

  • Request the correction, update, or clarification of inaccurate personal data.

  • Withdraw their consent to personal data processing and request complete deletion of their data.

  • File a complaint regarding personal data processing to supervisory authorities or a court.

7. DATA PROTECTION MEASURES

7.1. The Operator implements necessary organizational, technical, and cryptographic security measures (including SSL encryption) to protect the User’s personal data from accidental loss, destruction, unauthorized access, modification, or disclosure.

7.2. Access to personal data is restricted strictly to the Operator and authorized personnel who require this information to perform tasks directly related to processing orders or maintaining the Website.
